Overview

A Space is a place for Mode users to organize reports around a team, project, or common theme. All Mode reports live in exactly one Space but a report can be easily moved to a different Space within the same Mode organization.

Spaces that you belong to are listed on the left side of your Mode home page under the “Spaces” section. Click on a Space to see a list of all of the reports in that Space. At the top of your screen, you can toggle between viewing all reports or archived reports. You can also sort reports by name or when they were created, last edited, or last run. The availability of different types of Spaces depends on your Mode organization’s version:

Mode Studio organizations have one open Space that is created when the organization is created and cannot be deleted.

Mode Business organizations can have an unlimited number of open Spaces and anyone in the organization can create any number of open Spaces. All newly created Spaces are open Spaces by default and can be seen by all members of the organization when they click on the browse nav-space-directory Created with Sketch. button next to the Spaces header on their Mode home page.

Types of Spaces

Personal Space

You have a personal Space in each Mode organization in which you are a member. Your personal Space is created for you when you join an organization and it cannot be renamed or deleted.

When you create a new report it will live your personal Space until you move it to another Space. Access to a report in a personal Space is not restricted; it is simply hidden from other members of the organization until you share the report link with someone. Therefore, any member of the same Mode organization with knowledge of the report URL will have access to the report.

A good way to think about your personal Space is that the reports inside it behave exactly like they would inside an open Space, with the exception that reports in your personal Space will only show up in your search results.

Community Space

Reports in the community Space are public and can be viewed, shared, run, or cloned by anyone on the internet. Building reports based on data in the Mode Public Warehouse and saving them in the community Space is a great way to demonstrate and share your analytics and visualization skills with the entire Mode community and beyond!

Each organization’s community Space is hidden by default, but it can be easily enabled by an organization admin. When enabled, every member of the organization can contribute to the community Space and they will see it listed on the left side of their home page in the Spaces section.

The community Space can only include reports with queries that run against the Mode Public Warehouse. If a report has ever queried a database other than the Mode Public Warehouse, such as any of your organization’s private connected databases, the report can no longer be moved into the community Space. This is true even if the most recent run of the report only queries the Mode Public Warehouse.

Open Space

Reports that live in an open Space are visible to all members of your organization and are discoverable throughout the Mode interface (e.g., in search results, etc.). When you move a report into an open Space, everyone in the organization will be able to view the report visualizations, query results (including results from previous runs) and underlying code.

In Mode Business organizations, any member of the organization can also run, edit, clone, or delete any reports in an open Space as long as they have access to all of the database connections that report uses.

Private Space

Use private Spaces to restrict access to the reports inside them. Reports within private Spaces are completely inaccessible and hidden from view for any user who is not a member of the Space. For example, if a report is in a private Space and a user who is not a member of that space navigates to the report’s URL, they will receive an error message.

NOTE: An existing open Space cannot be made private. Instead, create a new private Space and move reports to that Space.

When you create a new Space you are given the option to make the Space private. To provide other users access to any reports contained within the private Space, the creator must explicitly add the other users or user groups as members of the Space.

Organizations can have an unlimited number of private Spaces and anyone in the organization can create any number of private Spaces. Anyone who is a member of a private Space can grant other members of the organization access to that Space, but only the creator of the Space or an organization admin can remove a member from a private Space.

Admins can see all private Spaces that exist in an organization, but they can only access reports inside of private Spaces where they are a member. If the last member of a private Space leaves the organization, any admin can join that Space from Organization Settings.

Managing Spaces

Create a Space

Any member of an organization can create a new Space:

  1. Navigate to the Mode home page and sign in if you aren’t already.
  2. Click on the browse nav-space-directory Created with Sketch. button next to the Spaces section on the left side of the window.
  3. All Spaces in the organization will now be listed on the right. Click on Create Space in the upper right.
  4. In the Create a Space pop-up, enter a unique name for the Space. Optionally, add a description.
  5. By default, new Spaces are open. You can make your Space private by clicking on the toggle next to “Make this Space private”.
  6. Click Create.
  7. You will be prompted to add other members of your organization to your newly created Space. Click Add next to any members or member groups that you want to become a member of your new Space. Learn more about what it means to be a member of a Space.
  8. Click Done.

Delete a Space

Before you delete a Space, you must first remove all reports from that Space, including any archived reports. You can either move the reports to another Space or delete the reports. To delete a Space once it contains no reports:

  1. Navigate to the Mode home page and sign in if you aren’t already.
  2. Open the Space you’d like to delete, either by clicking on it’s name in the Spaces section (if you are a member) or by clicking on the browse nav-space-directory Created with Sketch. button next to the Spaces section on the left side of the window, finding it in the list, and clicking on the Space.
  3. At the top of the window, click on the gear settings-mini-hover Created with Sketch. next to the Space’s name.
  4. Click Delete Space.
  5. A pop-up will appear confirming that you want to delete this Space. Click Ok to delete the Space.

NOTE: You cannot delete your personal Space. While you cannot delete the community Space, it can be disabled by an organization admin.

Change a Space’s name or description

Anyone in an organization can change the name or description of an open Space. The name or description for a private Space may only be renamed by members of that Space.

  1. Navigate to the Mode home page and sign in if you aren’t already.
  2. Open the Space you’d like to rename, either by clicking on it’s name in the Spaces section (if you are a member) or by clicking on the browse nav-space-directory Created with Sketch. button next to the Spaces section on the left side of the window, finding it in the list, and clicking on the Space.
  3. At the top of the window, click on the gear settings-mini-hover Created with Sketch. next to the Space’s name.
  4. Click Rename Space.
  5. Modify the Space name and/or description in the pop-up window.
  6. Click Save.

Membership and visibility

All Spaces in which you are a member will be listed in the Spaces section on the left side of your Mode home page. If you do not want the Space to show up in the Spaces section, you may leave the Space. Whether or not you are a member of an open Space does not impact your ability to access the any reports within it. However, only members of a private Space can see or access the reports inside of it.

Join a Space

You can join any open Space so that it appears on your home screen for easy access:

  1. Navigate to the Mode home page.
  2. Click on the browse nav-space-directory Created with Sketch. button next to the Spaces section on the left side of the window.
  3. Locate the Space you’d like to join in the list (Tip: If there are lots of Spaces, try searching for it where it says “Search all Spaces”) and click on the Space name.
  4. At the top of the window, click on the gear settings-mini-hover Created with Sketch. next to the Space’s name.
  5. Click Join Space.

NOTE: You cannot join a private Space on your own. You must ask a current member of that Space to add you to it.

Leave a Space

Leaving a Space removes it from the left side of your Mode home page. If you leave a private Space, you will no longer be able to access any of the reports in that Space. To leave a Space:

  1. Navigate to the Mode home page.
  2. Locate the Space you’d like to leave in the Spaces section on the left and click on it.
  3. At the top of the window, click on the gear settings-mini-hover Created with Sketch. next to the Space’s name.
  4. Click Leave Space.

Add other members to a Space

Anyone can add new members to an open Space, but you must already be a member of a private Space to add new members to that Space. Here’s how:

  1. Navigate to the Mode home page and sign in if you aren’t already.
  2. Open the Space that you want to add members to, either by clicking on it’s name in the Spaces section (if you are a member) or by clicking on the browse nav-space-directory Created with Sketch. button next to the Spaces section on the left side of the window, finding it in the list, and clicking on the Space.
  3. At the top of the window, click on the gear settings-mini-hover Created with Sketch. next to the Space’s name.
  4. Click Add Members.
  5. Find all members or groups in the list that you’d like to add to this Space. Next to each one, click Add.
  6. When you are finished, click Done.

Remove other members from a Space

Only the Space creator or an organization admin who is also a member of the Space can remove members from the Space. To remove members or groups from a Space:

  1. Navigate to the Mode home page and sign in if you aren’t already.
  2. Open the Space that you want to add members to, either by clicking on it’s name in the Spaces section (if you are a member) or by clicking on the browse nav-space-directory Created with Sketch. button next to the Spaces section on the left side of the window, finding it in the list, and clicking on the Space.
  3. At the top of the window, click on the gear settings-mini-hover Created with Sketch. next to the Space’s name.
  4. Click Add Members.
  5. All members and groups that currently belong to the Space should be listed near the top of this list. Find all members or groups in the list that you’d like to add to remove from this Space.
  6. Next to each one, hover over the “Added” button and click Remove.
  7. When you are finished, click Done.
